# Gym chains: why every site needs its own equipment list

A gym chain often describes itself once: the brand, the facilities, a list of what “our gyms” have. The trouble is that no two sites are identical. One has the new cable line, another kept the old racks, a third has a pool. **An inventory averaged across a gym chain’s sites is wrong everywhere.**

## One gym chain account, one record per site

- Each gym has its own address, its own pin on the map, its own machines and its own services.
- A single account keeps all of them, and a single screen lists every site, oldest confirmation first.
- One press, *All of it is still right*, confirms a site that has not changed.

## What goes into each site’s record

Every site gets the same short set of fields, filled in for that site alone. There is the name and a structured address, with a pin on the door placed by a person and an optional access note of up to 120 characters, useful for something like which entrance to use. There is an email address at the gym where we can reach you. There are the machines, chosen from a vocabulary of 794 equipment types and 139 makers, and the services, chosen from a closed list that includes showers, lockers, step-free access, bicycle parking, a spinning room, a boxing area and a sauna.

If one site has a boxing area and another does not, that difference shows. If one kept the old racks, members there see the old racks.

## Why it matters for members

A member who trains at your site in the city centre should get that site’s equipment, not the one across town. On GymAI, the plan follows the gym the member chose, so a chain that describes each site properly gives every member a plan that works on their floor. Their plan stops offering machines that site does not own.

## Keeping many sites current without extra work

*Records you keep* lists every site with the oldest confirmation first, so the site most likely to be out of date is always at the top. *How current it is* marks the oldest part of each record. When a site has not changed, one press dates it. When it has, you update that site and leave the others alone.

## Security for an account that holds many sites

One account for many gyms deserves care. Changes need a second factor: an authenticator app or two passkeys. Passwords run from 15 to 256 characters, common ones are refused, and there are no other rules. The account’s address is confirmed with an eight-character code, and a failed sign-in never says which half was wrong.

## Frequently asked questions

### Do we need a separate account for each gym?

No. It is the same account for one gym or a chain. Each site is described separately inside it.

### Will GymAI ask how many members each site has?

No. We never ask how many members you have, and the account is never told who chose a site: no names, no counts, no visits.

### Can members add our sites before we join?

Yes, people who train can add gyms before the gym arrives. Once you are there, what you publish outranks what they contributed.

## Free, and with no member data

The account is free, with no trial and no end date, and holds no members: it never sees who chose any of your gyms. GymAI is not open yet.
